7 Steps to Improve Your Organization Skills at Work

Improving your organization skills is an important part of being productive and efficient at work.  On this post, we present seven steps that you can do to improve your personal organization skills, regardless of your job or profession.

  1. Understand your job duties and responsibilities.  What does your company expect from you?  What kinds of duties are you expected to do, being in your position?  It is very important to have a clear idea of your duties and responsibilities even as you are applying for the job.  If you’re not sure, you should do research on this particular aspect instead of just doing guesswork.
  2. Determine your priorities.  Once you aware of your exact duties and responsibilities, you must set your priorities.  This way, you can do the most important tasks first, without compromising the simpler chores.
  3. Create a Daily “To Do” List.  Write down the tasks that you need to do in a day to make sure that you will not miss out or forget anything.  It’s a good idea to create your daily “to do” list at the end of your shift, so it will be ready for the next day.  Thus, you can start your tasks right away in the morning instead of wasting the first hour creating your list of things to do for that day.
  4. Collaborate with your team.  An efficient employee is not the one who prefers to work alone but someone who is humble enough to collaborate with team members.  If you are assigned to work on a particular project, see to it that you can complete your assigned task on time.  If you need assistance, don’t hesitate to ask for help.
  5. Use a task organizer.  Using an uncomplicated program designed to help you organize your tasks in the office is a great idea.  Automated organizers have reminder systems so you can be alerted of an up-coming project due date or appointment.
  6.  Set goals and reasonable time frames.  How long do you think will it take you to complete a project or finish a task?  Setting a specific time frame is a great way to avoid unnecessary delays.  It will also prevent you from being slow or procrastinating.  However, you should be reasonable when setting goals and time frames since trying to aim for something that is way out of your league can lead to frustration.
  7. 7.       Recognize the value of breaks and rest.  Taking breaks at proper times is essential if you want to be a productive and efficient employee.  As the popular adage goes, “all work and no play makes Jack a dull boy.” In the same way, focusing on your work too much or straining yourself to complete a project quickly may result to poor performance.  The quality of your work output can be compromised when you rob yourself of sleep or when you skip meals.  On the contrary, when you feel good about yourself, you will be able to perform your tasks effectively and produce better results.
